Dear all,
Following the feedback received, I feel the need to clarify few
media-related exits:
1. Media attendance We expect between 600-700 journalists to awaits
the Summit in Tunis. Impossible It is to estimate how many media
events will Be organized during the Summit, goal all press
conferences, interviews, press briefings and other media opportunities
will Be displayed At all times one plasma screens throughout the come
and advertised in the WSIS Media Calendar (also available At all times
one the come).
2. Media requests When sending has me request for has press event,
please make sour you CLEARLY state the entity you book the event for,
and MORE IMPORTANTLY that the respective entity has PROPER
ACCREDITATION with the Summit.
3. Media opportunities civil The time slot allocated to the society to
hold its press conferences is 45 minutes DAILY between 16:00-16:45 in
the Media Centers, to Be Split have we seem made (have you can' T cuts
has press conference for less than 15 min - otherwise it is not has
press conference anymore - common sense gives maximum customs 9 slots
of 15 minutes to Be used during the 3-days summit). Nevertheless, I
think it is important for all of custom to understand that priority
will Be given to caucuses, families and groups of NGOs rather than
individual ones. Receive The fact that the first-come first-served
principle is applied does not mean that the first 3 NGOs sending me
emails will automatically the three 45 min slots available daily.
Therefore, you might Be asked to share your time slot (yew already
booked one) gold to group your press conferences and briefings one
topics (we will not cuts several briefings one the same topic). Press
conferences are to Be organized ONLY when you cuts important REALLY
news to share with the media. These official press conferences will
only take place in the media centers in the ONLY ONE press conference
room available for ALL stakeholders.
4. Media rooms Please also Be aware of the fact that press conferences
are not the ONLY means to meet the media. Briefings, grouped
interviews and individual interviews edge Be arranged. These media
opportunities edge Be held in the media centers (provided interview
rooms are booked) civil gold in the society space (we are doing our
best to allow some extra space for the civil society to meet the civil
media in the society space).
5. Pigeonholes In all, we cuts 100 pigeonholes to civil Be distributed
evenly between the society various entities. It is true, that in the
request form you are kindly asked to advise how many pigeonholes you
require (per language). That doesn' T necessarily mean that one NGO
will Be given unreasonable number of pigeonholes. For the moment we
cannot accommodate more than 2 per organization. Again, depending one
the number of requests, you might Be asked to share your pigeonholes.
6. Media Connection Officers We will need all the help we edge get
with the media. Based one various feedback received from many of you,
your offer to help is most welcome. Please kindly note that the media
connection officers (have requested in my previous email) will not
perform in year official capacity. Therefore, they will not receive
extra media overpasses to access the media centers, NOR will they cuts
access to the media list. And yes, the media connection officer I
asked each entity to provide me with edge also act have the
spokesperson, provided the person is representative for the respective
entity and has excel PR skills.
7. Media overpasses Ace mentioned in my previous email, I will
distribute the media overpasses ONSITE ONLY and EXCLUSIVELY to those
whose presence is required At has given time in the media centers.
These master keys, have they nominal are not, will civil Be shared by
various members of the society and I will collect them back one has
daily basis (in order to ensure has flowing
process in redistribution). I will also keep has strict distribution
list, in order to avoid any misunderstandings between the pass
bearers.
8. Plane media I cuts already started to work one has media plan to
civil ensure full access of the society to the media. Should you
require to arranges has press event with has specific media, please
let me know asap. This should enable me to organize and prepare the
logistics for all media arrangements in Tunis. Also, should you cuts
any particular talking points to raise with the media, I will Be more
than willing to discuss them with you.
I hope this helps in clarifying the media guidelines previously feels.
Again, I look forward to working with you and to hearing back from
you.
With my very best,
Adina: -)

***************
Dear all,
Following the answers which I received, it seems necessary to
to me to clarify certain points relating to the media:
1. Participation of the media Between 600 and 700 journalists are
awaited to take part in the Summit of Tunis. It is impossible to
estimate how many events media will be organized during the Summit.
But all press the conferences, the interviews, the briefings presses
and other meetings with the media will be announced constantly on
screens plasma through the places of the Summit and will be diffused
in the Calendar Media of the SMSI (which will be also available
constantly in the center of exposure).
2. Requests for the media When you send a request for an event to me
presses, take care please of CLEARLY mentioning the entity for which
you reserve this event, and in a MORE IMPORTANT way still, check that
this same entity IS DULY ACCREDITED for the Summit.
3. Meetings with the media the time crenel allocated at the civil
company to hold its press conferences is 45 minutes PER DAY, between
16:00 and 16:45 in the Center of the Media, crenel which must be
distributed as good us seem (owing to the fact that one cannot hold a
press conference during less than 15 minutes, if not it does not act
more than one conference press, it is logical to distribute a maximum
of 9 15 minute old crenels each one with being used at the time the
three days of the Summit). However, I think that it is important for
all to understand that the priority will be given to the caucus,
families and groups of ONG rather than to the individual
entities. The fact that the principle of the come first been useful
first applies does not want to say that the first 3 ONG
sending an email to me will automatically receive three the 45 minute
old crenels available each day. Thus, it could be asked to you to
divide your time crenel (if it is already reserved) or to gather your
briefing and press conferences on common subjects (one will not be
able to have various briefings on the same subject). The press
conferences will have been organized ONLY if you have REALLY news
important to divide with the media. These official press conferences
will take seat only in the center of the media, in Only one room of
press conference ONLY available for ALL the fascinating parts.
4. Rooms of media Please also note that the press conferences are not
the ONLY MEANS of meeting the media. Briefings, grouped interviews and
individual interviews can be thus organized. These meetings with the
media can be held in the center of the media (provided that the rooms
of interviews are reserved) or
in the space of the civil company (we endeavour to place at it at the
disposal of additional space so that the civil company meets the media
in the space reserved for the civil company).
5. Racks On the whole, we will have 100 racks which will have to be
distributed in an equitable way between the various entities of the
civil company. It is true that in the form of reservation it was asked
to you to announce how many racks you needed (by language). This does
not want to necessarily say that only one entity will be seen
allotting a disproportionate number of racks. For the moment, we
cannot allot more than two racks by organization. Once again,
according to the number of the requests, it could be asked to you to
share the use of racks.
6. Liaison officers with the media We will need all the help which we
will be able to obtain in our relationship to the media. On the basis
of answer many that you sent to me, your offer of assistance is the
welcome. Please note that the liaison officers with the media (as
asked at the time of my preceding e-mail) will not be able to exert
within an official framework. Thus, it will not be able to receive
additional passes for the media, nor will not be able to have access
to the list of the media. And, yes, the liaison officer with the media
which I asked each entity to provide me can also act as a door word,
provided that the person is representative of this respective entity
and has competences in public relation.
7. Pass for the media As mentioned in my preceding e-mail, I will on
the spot ensure the distribution of the passes media ONLY and
EXCLUSIVELY those whose presence is necessary at one time given in the
center media. These passes, owing to the fact that they are not
personal, will be divided by various members of the civil company and
I will collect them in return tous.les.jours (in order to ensure a
process of redistribution fluid). I will also preserve a list of very
strict distribution, in order to avoid any incomprehension between the
carriers of these passes.
8. Planning media I already started to work on a planning media which
will allow a complete access of the civil company the media. If you
need to arrange an event of press with specific media, let me know it
as soon as possible. This will enable me to organize and prepare
logistics for all arrangements with the media in Tunis. In the same
way, if you have a specific point of discussion to raise with the
media, it will be a pleasure of discussing it with you.
In waiting of your answers and to still work with you, I hope that
this will help you to clarify the directives media which were sent to
you previously.
Yours sincerely,
Adina: -)
